Office Relocation With Minimal Downtime

An office relocation is a different problem from a house move, because the clock matters more than the address. The phone system, workstations and filing need to be standing at the new site before the first client calls on Monday morning or the first employee logs in. For an international company setting up or expanding in the Zurich area, that also means dealing with Swiss building practicalities that are easy to underestimate from abroad: loading zones on public streets usually require a permit, lifts in shared office buildings have to be booked with the caretaker, and access to a new site outside normal hours needs arranging with the property manager well before moving day.

Because of that, we plan office relocations across March SZ, the Zürcher Oberland and the Wil SG area mostly outside business hours, in the evening or over a weekend. How long that takes depends on scale: a single office with four workstations is done in an evening, while a larger administration with several departments needs a full weekend and more than one vehicle. All three regions have a strong base of SMEs, from small trades businesses to larger employers such as Ferag in Hinwil or Huber+Suhner in Pfäffikon ZH, so office volumes and requirements vary a great deal from one relocation to the next.

How we keep the business running

Before the move, we visit both sites and agree a labelling system with you, giving every department and room its own colour or number. On moving day we dismantle desks, shelving and filing cabinets, photograph and label patch panels, switches and cabling at the server cabinet before anything is disconnected, and pack screens and equipment for transport. At the new site, furniture goes back up according to the same room plan, desk systems and shelving are reassembled, and filing cabinets are restocked by label. The technical reconnection of servers and networking is handled with your IT provider, and we make sure the equipment itself is in the right place at the agreed time for that to happen.

For larger offices we often stagger the move by department: accounts moves on Friday evening, reception and management follow on Saturday, so the whole business is never without a workspace at once. Where a full weekend is not enough time, we set up temporary workstations at the new site in advance with the essentials, so urgent calls and emails can still be answered first thing Monday.

Where office moves go wrong

The most common mistake is too little time between the last box leaving the old office and the first meeting at the new one. If IT reconnection, property maintenance at the new building and the furniture move are not scheduled together, the furniture is in place on Monday but nobody can log in. Labelling is underestimated just as often. Without a clear system, the accounts department’s files end up in the boardroom and vice versa, and the search afterwards costs more time than the move itself. On multi-floor buildings, lift and loading-zone logistics add another layer, similar to a residential high-rise move but with more boxes per floor and several departments competing for the same lift.

A further sticking point is access to the new building outside normal opening hours. A weekend move needs a key or access authorisation from the property management (Liegenschaft management) arranged in advance, or the van arrives on Saturday morning to a locked door. We check this during the site visit, not on the day.

Quote and booking

The quote (Offerte) is based on a visit to both sites, the number of workstations and the preferred time window. For larger relocations we agree with you which partner firm covers which part of the building, so coordination still runs through a single point of contact on your side. The date is confirmed in writing, including the agreed window for IT reconnection and access to the new site.
